Terms and conditions

Introduction

These terms and conditions govern the hire of event equipment and services provided by Its all in the detail (Pty) Ltd, "the Company" to you, the client. By renting goods you are accepting our services, you agree to comply with these terms and conditions.

1. Booking and Confirmation

All bookings are considered provisional until the Company confirms the reservation in writing (via email or signed contract).

A deposit is required to confirm a booking. The deposit amount will be outlined in the contract.

The final balance must be paid 7 days before the event date. Failure to pay by the due date may result in the cancellation of the booking.

2. Hire Period

The hire period begins and ends at the times agreed upon in the booking confirmation.

Any additional hours requested during the hire period may incur extra charges.

3. Cancellations

 If the Client cancels the booking, the deposit may be non-refundable, depending on the timing of the cancellation.

Cancellations made within 14 days of the event may result in additional charges  or the full hire fee being payable.

4. Equipment and Services

The Company will provide the equipment and services as agreed in the contract.

The Client is responsible for ensuring that all the hired equipment is suitable for the venue and event.

The Client must return all equipment in good condition. Any damage or loss of equipment will be charged to the Client.

The Company reserves the right to replace any equipment that is unavailable at the time of the event due to unforeseen circumstances.

5. Delivery and Setup

The Company will deliver the hired items to the location on the agreed date and time. The Client must ensure that access is available to the event location.

The Client must inform the Company of any access restrictions or specific delivery requirements at least 3 days before the event.

6. Responsibility for Equipment

The Client agrees to take reasonable care of the hired equipment during the hire period.

Any damage or loss caused to the equipment, either during transport, setup, use, or return, will result in a charge to repair or replace the item.

The Company is not liable for any loss or damage caused by the use of its equipment, except where due to the Company's negligence.

7. Indemnity and Liability

The Client agrees to indemnify the Company against any claims for loss, damage,  injury, or death that occur as a result of the Client’s use of the Company’s services  or equipment, except where due to the Company’s negligence or misconduct.

The Company will not be held liable for any indirect, incidental, or consequential damages.

8. Force Majeure

The Company will not be liable for failure to deliver services due to events beyond its reasonable control, including, but not limited to, natural disasters, strikes, or acts of government.

If such events occur, the Company will notify the Client as soon as possible and will attempt to reschedule the event or offer alternative solutions.

9. Insurance

The Client is advised to arrange suitable event insurance to cover potential risks, including but not limited to, public liability, equipment damage, and cancellation.

The Company holds liability insurance to cover its equipment and operations, but it does not cover any third-party events.

10. Venue Responsibility

The Client is responsible for ensuring that the venue is suitable for the equipment provided, including adequate power supply, space, and safety.

The Company will not be liable for any damage caused by the equipment to the venue, other property, or individuals unless due to the Company’s negligence.

11. Client Conduct

The Client is responsible for the conduct of all guests at the event. Any abusive or inappropriate behavior towards the Company’s staff may result in the immediate termination of services without refund.

The Client must ensure that all relevant health and safety regulations are adhered to during the event.

12. Data Protection

The Company will process personal data in accordance with applicable data protection laws. For more information, please refer to our Privacy Policy.

13. Dispute Resolution

Any disputes arising from these terms and conditions will first be addressed through negotiation. If a resolution cannot be reached, the matter will be referred to mediation or arbitration.

14. Governing Law

These terms and conditions shall be governed by and construed in accordance with the laws of South Africa.

15. Amendments

The Company reserves the right to amend or update these terms and conditions at any time. Clients will be notified of any significant changes.
